This role is the operational backbone of our Psychological Testing Program—connecting patients, psychologists, psychometrists, providers, insurance teams, and clinical operations into one seamless experience.

The Role

As the Psychometrics Scheduling Coordinator, you will lead the day-to-day operational coordination of My Psychiatrist’s Psychological and Neuropsychological Testing Program.

You will serve as the central point of coordination for:

  • Psychological testing referrals
  • Insurance review
  • Prior authorization
  • Scheduling optimization
  • Patient communication
  • Program workflow
  • Clinical operations support

Working alongside our supervising Psychologist, Psychometrists, Verification of Benefits team, Patient Care Liaisons, and referring providers, you will help create a seamless experience that supports both patients and clinicians.

Your success will be measured by one simple outcome:

Patients receive timely access to testing while clinicians maintain productive, fully optimized schedules.


What You’ll Own

Referral Intake & Patient Access

You will become the primary operational contact for our Psychometrics Program.

Responsibilities include:

  • Managing all incoming psychological testing referrals
  • Reviewing insurance requirements and referral eligibility
  • Determining appropriate testing pathways
  • Coordinating external referrals when services cannot be provided internally
  • Initiating PCP referrals when required by payer guidelines

Prior Authorization & Insurance Coordination

You’ll own one of the most critical components of patient access.

Responsibilities include:

  • Preparing and submitting prior authorizations
  • Tracking authorization status proactively
  • Coordinating closely with our Verification of Benefits (VOB) team
  • Communicating insurance benefits and patient financial responsibility clearly
  • Escalating authorization barriers before they delay patient care
  • Maintaining complete documentation throughout the authorization process

Schedule Optimization

You won’t simply fill calendars.

You’ll optimize them.

You’ll:

  • Monitor Psychologist and Psychometrist schedules daily
  • Maintain consistent schedule density
  • Proactively fill cancellations and schedule gaps
  • Confirm appointments and patient readiness
  • Improve show rates through thoughtful pre-visit planning
  • Ensure patients arrive fully prepared for testing

Patient Communication & Program Coordination

You’ll become the trusted point of contact throughout the testing journey.

Responsibilities include:

  • Managing departmental email and voicemail
  • Providing appointment reminders and preparation instructions
  • Coordinating patient communication in English or Spanish
  • Guiding patients through each step with professionalism, empathy, and clarity
  • Supporting seamless transitions between referring providers and testing services

Clinical Operations & Workflow Excellence

You’ll partner closely with:

  • Supervising Psychologist
  • Psychometrists
  • Verification of Benefits
  • Patient Care Liaisons
  • Referring Providers
  • Clinical Operations

Together, you’ll strengthen workflows, improve access, and ensure operational consistency across the department.


Systems, Documentation & Operational Accuracy

You’ll maintain exceptional operational discipline by:

  • Documenting referrals, scheduling activity, authorizations, and patient communication accurately
  • Maintaining complete patient demographics and insurance information
  • Protecting confidentiality and HIPAA compliance
  • Following established workflows, escalation pathways, and scheduling standards
  • Helping improve systems as the department continues to grow

Required

  • High school diploma or equivalent
  • Associate’s or Bachelor’s degree in Healthcare Administration or a related field preferred
  • Minimum one year of experience in one or more of the following:
    • Healthcare scheduling
    • Prior authorization
    • Patient access
    • Insurance coordination
    • Medical office operations
    • Contact center healthcare support
  • Strong understanding of:
    • Insurance verification
    • Prior authorization workflows
    • Healthcare scheduling
    • Patient communication
  • Bilingual English and Spanish
  • Exceptional organizational skills
  • Strong follow-through and accountability
  • High attention to detail
  • Experience using Electronic Health Records (EHR) and scheduling platforms

Preferred

  • Behavioral health experience
  • Psychological or neuropsychological testing program experience
  • Experience with Tebra or comparable EHR platforms
  • Experience coordinating specialty clinical programs
