You’ll become knowledgeable about our providers, specialties, locations, availability, languages, and services—and guide patients from curiosity to confidence, from inquiry to appointment.

As a Patient Access Specialist at our Contact Center, you’ll become one of the first connections between patients and the care they need.

What You’ll Do
Provider Matching & Patient Access
- Guide qualified patients into scheduled appointments across Psychiatry, Therapy, Psychological Testing, TMS, and specialty behavioral health services
- Walk patients through scheduling, intake expectations, and insurance-related questions with clarity and professionalism
- Learn our providers, specialties, services, locations, languages, availability, and insurance participation
- Help patients navigate provider options based on established non-clinical criteria
- Recognize when a question requires clinical guidance and escalate appropriately
You won’t diagnose or determine treatment. You’ll help patients navigate their options and connect with the right place to start.
Patient Experience & Communication
- Deliver professional, responsive, and empathetic communication in English and Spanish
- Communicate with patients through phone, text, email, and approved digital channels
- Build trust through listening, clarity, responsiveness, and reliable follow-through
- Maintain professional communication with patients, referral sources, providers, and internal teams
- Help patients feel informed, supported, and confident about what happens next
Follow-Up & Follow-Through
- Maintain organized follow-up workflows
- Reconnect with patients when information or action is still needed
- Document communication attempts and outcomes accurately
- Follow up when you say you will
- Close the loop instead of assuming someone else handled it
- Escalate unresolved issues appropriately
Referral Coordination & Partner Support
- Support referral pipeline management in partnership with Business Development, Marketing, Clinical Operations, and Contact Center leadership
- Maintain organized tracking of referral activity, patient status, and scheduling outcomes
- Proactively escalate referral-partner concerns or operational issues
- Help ensure referred patients receive timely, accurate follow-through
Documentation & Operational Excellence
- Document patient interactions and scheduling activity accurately
- Maintain current patient demographics, insurance information, and referral documentation
- Use CRM, EHR, digital patient communication, telephony, and other assigned systems
- Maintain organized and actionable workflows
- Protect patient confidentiality and maintain HIPAA compliance
- Manage multiple priorities without sacrificing accuracy
- Identify missing information before it becomes a patient or scheduling problem
- Participate in training and workflow improvement
- Ask when you’re unsure rather than guess
To Be Qualified for This Position, You Have:
We’re looking for people who combine exceptional customer service with exceptional follow-through.
Required
- Fluent English and Spanish—written and verbal
- 1+ year of experience in a high-volume contact center, customer service, healthcare scheduling, hospitality, or a similar service-based environment
- Strong listening and communication skills
- Strong attention to detail
- Excellent organization and follow-through
- Comfort communicating by phone and through digital engagement platforms
- Ability to manage multiple responsibilities while maintaining accuracy
- Professionalism and discretion when handling sensitive information
- Reliable attendance and punctuality
- Willingness to receive coaching and apply feedback
- Full-time, on-site availability at our Hollywood Headquarters
Preferred
- Healthcare or behavioral health experience
- Patient intake or medical scheduling experience
- Insurance verification experience
- Customer relationship management experience
- Lead-conversion or service-based sales experience
