The Role

The Patient Access Specialist manages and converts inbound and outbound patient leads generated through:

  • Referral partners
  • Business development initiatives
  • Digital marketing campaigns
  • Provider and specialty referrals

You will operate at the intersection of:

  • Patient experience
  • Access operations
  • Sales psychology
  • Communication strategy
  • Operational execution

Your work directly supports psychiatry, therapy, psychological testing, TMS & neuromodulation, and specialty mental health services across the organization.


What You’ll Own

Lead Conversion & Patient Activation

  • Manage inbound and outbound patient inquiries with urgency and structure
  • Convert qualified leads into scheduled psychiatric, therapy, testing, and specialty appointments
  • Maintain disciplined follow-up cadence to maximize conversion and continuity of care
  • Guide patients through next steps with clarity, confidence, and professionalism

Business Development & Referral Coordination

  • Work closely with the Business Development team on referral pipeline management
  • Serve as a key communication point for partner-generated patient leads
  • Build trust through responsiveness, organization, and follow-through
  • Escalate patient concerns and operational barriers appropriately through resolution

High-Touch Patient Experience

  • Deliver a concierge-level patient experience across every interaction
  • Balance emotional intelligence with efficiency and urgency
  • Help patients feel informed, supported, and confident moving forward with care
  • Communicate professionally across phone, text, CRM, and digital communication platforms

Systems, Documentation & Operational Precision

  • Accurately document all patient interactions within:
    • HubSpot
    • Tebra
    • Curogram
    • RingCentral
  • Maintain clean, organized, and actionable lead pipelines
  • Track follow-up activity, conversion rates, and scheduling outcomes
  • Ensure HIPAA compliance and confidentiality standards at all times

Non-Negotiable Requirements

Required

  • 2+ years of experience in:
    • Patient access
    • Intake coordination
    • Sales
    • Lead conversion
    • Call center operations
    • Customer relationship management
  • Proven ability to handle objections and convert opportunities into action
  • Strong communication and relationship-building skills
  • High attention to detail and documentation discipline
  • Comfort operating within CRM systems and multi-channel communication environments
  • Ability to multitask while maintaining professionalism and precision

Preferred

  • Healthcare or behavioral health experience
  • Experience with HubSpot or similar CRM platforms
  • Familiarity with patient scheduling and EHR workflows
  • Bilingual English & Spanish
