We’re looking for a TMS Care Specialist who naturally creates that experience.

Not someone who simply performs tasks.
Someone who understands presence, emotional intelligence, hospitality, and the power of making people feel genuinely cared for during vulnerable moments.

No prior TMS experience is required.
We can teach treatment protocols.

The Role

As a TMS Care Specialist, you will serve as the primary point of connection for patients undergoing Transcranial Magnetic Stimulation (TMS) treatment.

You will guide patients through a highly personalized care experience while supporting clinical treatment delivery, scheduling coordination, treatment documentation, and day-to-day operational excellence.

What You’ll Own

Create an Elevated Patient Experience

  • Welcome patients with warmth, professionalism, and calm confidence
  • Build trust and rapport throughout each patient’s treatment journey
  • Create an environment that feels polished, peaceful, and intentional
  • Anticipate patient needs before they become concerns

Support TMS Treatment Delivery

  • Prepare and set up TMS treatment devices according to physician protocols
  • Monitor treatment sessions to ensure patient comfort, safety, and treatment accuracy
  • Administer TMS treatment under established clinical guidelines
  • Observe patient responses and communicate concerns appropriately to providers

Treatment Coordination & Communication

  • Manage treatment schedules using EHR and scheduling systems
  • Confirm appointments and coordinate schedule updates with front office and clinical teams
  • Inform providers of missed appointments or treatment interruptions to ensure continuity of care
  • Maintain smooth daily patient flow and operational readiness

Documentation & Administrative Precision

  • Document treatment session notes with a high level of accuracy and detail
  • Ensure informed consents and patient agreements are completed and properly maintained
  • Handle superbills, maintain daily census reporting, and monitor authorization timelines
  • Maintain organized patient records and data integrity across systems

Patient Education & Support

  • Provide patients with supportive education regarding TMS treatment and services
  • Answer questions with professionalism, empathy, and clarity
  • Coordinate provider consultations when additional clinical support is needed

Compliance & Operational Standards

  • Maintain HIPAA compliance and strict patient confidentiality
  • Follow established office procedures and treatment protocols consistently
  • Support general office operations including phones, coordination, file management, and workflow support
  • Assist with onboarding and training new team members when needed
  • Provide occasional support to other My TMS locations as operational needs evolve

Strongly Preferred

  • Experience in hospitality, luxury wellness, aesthetics, concierge service, patient coordination, or healthcare
  • Experience supporting high-touch or VIP-style clientele
  • Familiarity with EHR or scheduling systems

No prior TMS experience required.
