As we continue expanding across Florida, the Clinical Onboarding Specialist plays a critical role in ensuring every Psychiatrist, PMHNP, Psychologist, and Therapist enters the organization prepared, confident, compliant, and operationally ready.

This is not a traditional training role.

The Role

The Clinical Onboarding Specialist owns the full provider onboarding lifecycle across our physician-led behavioral health organization.

From pre-arrival readiness and first-week orientation to live documentation coaching, quality audits, and ongoing provider education, your work directly impacts:

You will work directly with Psychiatrists, Psychiatric Nurse Practitioners, Psychologists, and Therapists across multiple locations and collaborate closely with Credentialing, Billing, IT, Clinical Operations, Talent Acquisition, and Executive Leadership.


What You’ll Own

Provider Onboarding & Clinical Readiness

  • Own the onboarding lifecycle for all new providers across the organization
  • Ensure complete pre-arrival readiness including:
    • EHR and systems access
    • Technology setup and login verification
    • Schedule templates and workflow readiness
    • Clinical resource preparation
  • Lead structured provider orientation covering:
    • EHR workflows
    • Clinical documentation standards
    • E-prescribing and controlled substance protocols
    • Telehealth workflows
    • Practice policies and operational expectations
  • Provide dedicated 1:1 onboarding support, live shadowing, and real-time coaching during providers’ first weeks

Documentation Quality & Clinical Audits

  • Conduct formal provider documentation and coding audits
  • Review:
    • Productivity
    • Billing and coding accuracy
    • Note quality
    • Documentation compliance
    • Closure timelines
  • Coach providers on documentation improvement opportunities
  • Partner closely with Billing to reduce documentation-related denials and improve operational accuracy
  • Escalate ongoing compliance concerns appropriately

Provider Education & Training

  • Lead Quarterly Quality Meetings with providers
  • Coordinate ongoing Thursday clinical trainings and educational sessions
  • Maintain onboarding curriculum, SOPs, competency checklists, and workflow documentation as systems evolve

Cross-Functional Clinical Operations

  • Collaborate closely with:
    • Credentialing
    • Billing
    • IT
    • Practice Operations
    • Talent Acquisition
    • Clinical Leadership
  • Ensure onboarding workflows remain organized, scalable, and operationally aligned across the organization

Preceptorship Program Support

  • Coordinate student placement workflows and academic program communication
  • Manage onboarding logistics for student rotations and preceptor relationships
  • Support long-term provider pipeline development initiatives

What You Bring

Required

  • Active or recently active clinical license (RN, LPN, BSN, LMHC, LCSW, LMFT, or equivalent clinical operations experience)
  • 3+ years of experience onboarding, training, or coaching licensed healthcare providers
  • Hands-on EHR training experience within ambulatory or outpatient settings
  • Working knowledge of:
    • Clinical documentation workflows
    • Scheduling operations
    • E-prescribing and controlled substance protocols
    • Behavioral health coding fundamentals
    • Payer documentation requirements
  • Strong organizational discipline and project ownership
  • Ability to confidently train clinicians within a fast-paced environment

Preferred

  • Behavioral health or psychiatry practice experience
  • Familiarity with TMS, SPRAVATO®, and medication management workflows
  • Tebra (Kareo) experience
  • Experience supporting telehealth and hybrid care models
  • Bilingual English/Spanish
